General
Willow’s Edge can accommodate up to 250 guests on the property. To assist with your event setup, our rental package includes the following inventory:
Tables: We provide 25 round tables (60-inch diameter) which seat 8 guests each. We also provide several rectangular tables for your head table, cake table, and other needs.
Chairs: We have an inventory of 300 white folding chairs available for your use.
We want you to focus on the celebration, not the clock! Because we know our guests really like to party, we provide a generous rental window that spans three days. Specific hours are listed in each package description, but generally, our rentals include:
Setup: Dedicated time the day before your event to get everything perfectly in place.
The Big Day: Full access for your wedding and reception so you can celebrate without rushing.
The Morning After: Time the following day to return and handle cleanup.
By providing this extended access, we eliminate the stress of "midnight move-outs." You can party the night away knowing you don’t have to worry about an immediate exit or overtime fees for staying late.
To officially reserve your date at Willow’s Edge, we require a signed contract and an initial deposit of 35% of the total venue fee. Our payment schedule is designed to help you manage your budget leading up to the big day:
Initial Deposit: 35% due at the time of booking to secure your date.
Second Payment: 50% of the remaining balance is due six months prior to your event.
Final Balance: The remaining balance is due 45 days before your event.
Payment Methods & Fees: We accept cash or personal checks (payable to Willow’s Edge LLC), and we will provide a receipt for every payment. While we can accept credit cards for venue payments, please note that they incur a 3% processing fee. Because of this, we typically encourage check or cash for the rental fees to save you that additional cost.
Note for the Bar: Credit cards and Cash are gladly accepted for all bar services during your event!
Refund Policy: Details regarding cancellations and refunds are outlined in your rental contract. We recommend reviewing those terms during the booking process.
Absolutely! We would love for you to host your entire celebration at Willow’s Edge. We offer a comprehensive package that includes both your ceremony and reception in one location.
In fact, we have intentionally priced our all-inclusive package to be more cost-effective than booking separate ceremony and reception sites. Our goal is to minimize stress for our clients; by keeping everything on-property, you gain significantly more time to focus on making your big day perfect without the hassle of traveling between locations or managing multiple venue timelines.
Yes! Willow’s Edge provides both a Bridal Suite and a Groom’s Suite with full-day access when you book our ceremony and reception package.
Our suites are designed to be both gorgeous and spacious, providing an elegant environment for you to prepare for your walk down the aisle. These rooms offer the perfect backdrop for those fabulous "getting ready" photos and a comfortable, fun space for you and your wedding party to relax and celebrate before the festivities begin.
Yes, absolutely! While our "Ceremony Only" rental is a single-day option, our Exclusive Package is specifically designed to give you the time and space for a full wedding weekend.
When you book the Exclusive Package, you receive three-day access to the property, which is perfect for hosting additional celebrations:
Day One (2:00 PM – 8:00 PM): Ideal for your rehearsal and hosting an intimate rehearsal dinner on-site.
Day Two (8:00 AM – Midnight): Your full wedding day for getting ready, the ceremony, and the reception.
Day Three (8:00 AM – 12:00 PM): A relaxed window to host a morning-after mimosa brunch or breakfast while you finish up your cleanup.
Please note: All listed access times are subject to change if needed to accommodate specific venue requirements or scheduling updates.
In the event a customer cancels the event, the customer shall notify Willow’s Edge immediately in writing or by email. Once canceled, the Customer shall be responsible for agreed liquidated damages as follows. The parties agree that the liquidated damages are reasonable.
In the event Customer cancels the event more than one year prior to the event, Customer shall forfeit to Willow’s Edge as liquidated damages one-half (1/2) of deposit.
In the event customer cancels the event less than one year but not more than six months prior to the event, Customer shall forfeit to Willow’s Edge as liquidated damages the entire deposit.
In the event Customer cancels the event less than six (6) months but more than three (3) months prior to the event, Customer shall forfeit to Willow’s Edge as liquidated damages fifty percent (50 %) of the rental fee.
In the event customer cancels the event less than forty five (45) days prior to the event, Customer shall forfeit to Willow’s Edge as liquidated damages the entire rental fee
Yes. To ensure a safe and protected celebration for everyone, we require each client to provide a Certificate of Liability Insurance for their event.
Coverage Requirements: The policy must provide a minimum of $1,000,000.00 in General Liability coverage. This covers all general aspects of your event—including food, music, and setup—for the entire duration of your stay (setup, event day, and cleanup).
Liquor Liability: You do not need to worry about separate liquor insurance! Willow’s Edge carries our own comprehensive liquor liability insurance for all beverages served over the bar.
Listing the Venue: Willow’s Edge must be listed as an "Additional Insured" on your general liability policy.
Deadline: A copy of your certificate must be provided to us at least 30 days prior to your event date.
How to obtain coverage: Most clients find this very easy to set up through their current homeowners or renters insurance provider. We will also provide you with the contact information for a local insurance agent who is familiar with our venue’s requirements and can assist you in securing the correct policy.
At Willow’s Edge, we believe your wedding should be a reflection of your personal taste. For that reason, we do not have an in-house caterer or exclusive vendors. This gives you the flexibility to choose the catering style and budget that works best for you!
Vendor Selection: It is the responsibility of the client to contact and hire all necessary vendors (including catering, cake, flowers, hair and makeup, and photography).
Preferred Vendor List: To help jumpstart your planning, we provide all our clients with a Preferred Vendor List. These are local professionals we’ve enjoyed working with and who are familiar with our venue layout and policies.
Outside Vendors: You are more than welcome to bring in any outside professional vendors that are not on our list, provided they meet our standard insurance and venue requirements.
We provide the essential foundation for your event to help simplify your planning process. Our rental includes:
Tables & Chairs: We provide enough tables and chairs for up to 250 guests. With a total inventory of 300 white folding chairs, you have plenty of seating to utilize for both your ceremony and reception.
Linens: Willow’s Edge provides elegant Ivory linens for all venue tables included in your package.
Bar Glassware: We provide all necessary glassware for drinks served at the bar, so you don't have to worry about renting glasses for your beverage service!
What you will need to provide: While we handle the furniture, linens, and bar glassware, you or your caterer will be responsible for providing plates, silverware, and dinnerware for your meal. This gives you the freedom to customize your table setting to perfectly match your wedding style and catering choice.
To remain in compliance with Indiana state regulations, Willow’s Edge holds a formal liquor license and is required to provide all alcohol consumed on the property.
Alcohol Policy: Outside alcohol of any kind is strictly prohibited. To protect our licensing, any outside alcohol found on the premises will result in an immediate $500 charge.
Bar Service: Our Jr. Bar Lounge will be open and staffed by a licensed professional to handle all your beverage needs.
Wedding Party Refreshments: We provide a special gift package in the suites for the wedding party to enjoy while getting ready, featuring a limited selection of champagne, wine, whiskey, or beer.
Non-Alcoholic Drinks: You are more than welcome to bring in your own non-alcoholic beverages, such as lemonade, iced tea, or sodas.
Ice is Included: For your convenience, Willow’s Edge provides all the ice needed for both the bar and your non-alcoholic beverage stations!
We aim to make our bar service as transparent and flexible as possible to fit your wedding budget.
No Bar Minimum: At Willow’s Edge, we do not require a "bar minimum" spend. You only pay for what is ordered.
Pricing: Our Jr. Bar Lounge features a standard menu with individual drink prices clearly listed.
Bulk Options: For couples who wish to provide a specific amount of alcohol for their guests, we offer bulk purchase options. Since these prices vary based on your selections, you can request a custom quote during your planning process.
Gratuity: If you choose to host a tab or purchase drinks for your guests, an automatic 12% gratuity will be added to the tab. This ensures our professional bar staff is tipped and taken care of for their service.
Staffing: Willow’s Edge hires and manages the bartenders for your event. Unlike many other venues, we do not pass the cost of hiring bar staff onto our clients.
To protect the beauty of our venue for all our couples, we do require a refundable damage deposit (or "Breakage Fee") prior to your event.
Refund Policy: This deposit is fully refundable provided no damage occurs to the venue, equipment, or property during your rental period.
Requesting Your Refund: To receive your deposit back, a request must be made no later than 30 days after your event. Once the request is approved, your funds will be returned within 30 days.
Damages: Should any repairs or replacements be necessary due to incidentals during your event, the costs will be deducted from this deposit or charged to the credit card on file.
Yes! We offer complimentary on-site parking for all your guests. Our facilities are designed to be convenient and accessible:
Guest Parking: Parking is available in our designated West lot. Our lot accommodates up to 150 vehicles, and we have additional space available for overflow parking if needed.
Drop-Off Area: We feature a convenient circle drive that allows guests to be dropped off right at the building entrance before vehicles proceed to the parking areas.
Accessibility: Our parking lot meets all state ADA requirements. We provide designated handicap-accessible parking spaces adjacent to the main drop-off area for easy building access.
Parking Guidelines:
To ensure the safety of all guests and maintain clear access for emergency vehicles, parking is strictly prohibited in the drop-off circle, turnarounds, or any access drives leading to the venue buildings. We ask that all guests pull fully into designated parking stalls within the West lot.
